Data Retention and Deletion

This page explains how long Linkwards keeps information, how it is deleted, and what you can do to control it. It supports our Privacy Policy. Some periods are enforced automatically by our systems (daily clean-up jobs); others depend on legal requirements or on settings you choose.

1. Summary

  • Account and Page data: kept while your account exists.
  • Deleted accounts: Page offline immediately; permanent deletion after a 30-day grace period.
  • Page analytics events: deleted after about 1 year.
  • Booking requests: deleted after your chosen retention period (30 to 180 days; 90 days by default) once resolved or viewed, and in every case no later than 180 days after they were made.
  • Read notifications: deleted about 30 days after being read.
  • Newsletter subscribers: kept until you delete them, or your account is deleted.
  • Billing records: kept as long as tax, accounting and legal rules require.

2. Closing your account

How to do it

Go to your account settings in the Linkwards app and choose the delete-account option. For your security you will be asked to confirm with your password. Deleting is not available during a staff support session on your account.

What happens straight away

  • Your Page is unpublished and stops being visible to visitors.
  • We record the date and time of your request.

The 30-day grace period

  • For 30 days after your request, your account and data are kept so you can change your mind. You can cancel the deletion by signing in and following the prompt.
  • If you do nothing, then after 30 days a scheduled job permanently deletes your data.

What is permanently deleted

  • Your Page and everything on it: profile details, hero and avatar, service cards, content cards, strips, testimonials, locations, contacts and links, saved links and media records.
  • Files you uploaded to our storage, including your media library.
  • Booking requests, newsletter subscribers and analytics events linked to your Page.
  • Your support conversations and internal notes and tags attached to your account.
  • In-app notifications and your account details (name, country and so on).
  • Your consent records and your login (the user account itself).

What may remain after deletion

  • Billing and tax records. Invoices, payment records and related information are kept by our payment provider, and by us where needed, for the period required by tax, accounting and consumer law.
  • Security and administrative audit records. A record that an administrative action took place (for example, an account deletion or plan change) may be kept to protect the Service, resolve disputes and show accountability.
  • Backups. Our database provider keeps backups for a limited period. Deleted data in backups is not restored to live systems and is overwritten as backups expire.
  • Legal holds. We may keep information longer where needed to comply with law, respond to legal process, or establish, exercise or defend legal claims.
  • Data held by others. If you submitted a booking request or newsletter details to a customer, that customer may have their own copy, which they control. Public search engine caches and archives may keep copies of a public Page for a while after it is deleted.

If you want a faster or more complete deletion (for example, because of a legal right to erasure), email support@linkwards.com from your account email and we will handle it as the law requires.

3. Locked or inactive accounts

If your trial ends or your subscription lapses, your account is locked: your Page is taken offline but your content is kept so you can restore it by subscribing. We do not currently delete locked accounts automatically. We may, in future, delete accounts that have been locked or inactive for an extended period (for example, 12 months or more) after sending you notice at your account email address.

4. Retention by data type

Account information

Email, name, country, and other details you give us are kept while your account exists, and are deleted at the end of the grace period after you delete your account.

Page content and uploaded files

Kept while your account exists. If you remove an item, we delete it from our live systems. We may not immediately delete an old uploaded file that is no longer used by your Page; files are deleted at the latest when your account is permanently deleted.

Page analytics

Raw analytics events (page views, clicks, scroll depth, sources, device and approximate country) are deleted automatically after about one year. How much history you can see in your dashboard depends on your plan (for example 90 days on Starter and 365 days on Pro).

Booking requests

  • You choose a retention period between 30 and 180 days in your booking settings (default 90 days).
  • Requests that you have completed, declined or opened are deleted automatically after that period.
  • Any request, including unopened and confirmed ones, is deleted no later than 180 days after it was made.
  • You can also delete individual requests at any time.
  • If you have already copied the details elsewhere, for example into your own calendar or CRM, you are responsible for how long you keep those copies.

Newsletter subscribers

Kept until you delete them or your account is deleted. Customers are responsible for removing subscribers who ask to be removed.

Notifications

In-app notifications are deleted about 30 days after you read them. Unread ones are kept until you read them or your account is deleted.

Support conversations

Kept while your account exists so we can help you with ongoing and future issues. Deleted with your account.

Consent records

The record of which version of our Terms and Privacy Policy you agreed to, and when, is kept while your account exists, as evidence of what you accepted. It is deleted with your account.

Billing and subscription events

We receive subscription events from our payment provider (for example, created, updated, expired). We keep the information we need to manage your plan and handle disputes, and keep billing records for as long as the law requires.

Technical logs and audit logs

Operational logs held by our hosting and database providers are kept for the periods those providers set (usually days to weeks). Our administrative audit log (a record of staff actions on accounts) and records of system jobs are kept for security and accountability and may be retained for longer than other data.

Contact form and email

Messages you send us through the website contact form or by email are kept for as long as needed to deal with your request and for a reasonable period afterwards in case of follow-up or disputes.

5. How to make requests

You can delete most of your data yourself in the app (for example, bookings, subscribers, content and media, or your whole account). For anything else, including access or correction requests, email support@linkwards.com. See section 10 of our Privacy Policy for your rights.
