How to Auto-Reply to New Leads with AI (Step-By-Step)

Step 1: Create the Zap and connect the trigger
- Go to zapier.com, log in, click Create, then Zaps.
- Click the 1. Trigger box, search for
Google Forms, and select it. - Under Event, choose New Form Response, then click Continue.
- Sign in to the Google account that owns the form. Click Continue.
- Select your form. Click Continue.
- Click Test trigger and confirm real data appears, then click Continue.
Step 2: Add the AI step

Click + to add a step. Search for
AI by Zapierand select it. -
Under Event, choose Create Completion, then click Continue.

In the Prompt field, click inside it, then use the insert-data icon each time you need real lead data. Build something like:
Write a warm, professional 3-sentence reply to a new lead named [insert: Name from Step 1]. They asked: "[insert: Answer from Step 1]". Keep the tone helpful and end by asking when they're free for a 15-minute call.

Click Continue, then Test step. Read the AI's actual generated reply on the right and confirm it sounds like something you'd send.
Step 3: Send it to Gmail as a draft
- Click + again. Search for
Gmailand select it. - Under Event, choose Create Draft, then click Continue.
- Sign in to the Gmail account you want the draft to land in. Click Continue.
- In the To field, use the insert-data icon and select Email from your Step 1 data.
- In the Body field, use the insert-data icon and select the AI's output from Step 2.
- Click Continue, then Test step. Check your Gmail Drafts folder for the real draft.
Step 4: Turn it on
- Click Publish, then toggle the Zap to On.
- Submit one more real test form response and confirm a fresh draft appears in Gmail.
Why draft mode beats sending automatically
Notice Step 3 creates a draft, not a sent email. AI can misread a lead's message or land on the wrong tone. A draft means you glance at it and hit send yourself, getting the speed without an AI-written email going out unchecked under your name.
Common mistakes
- Typing the prompt as plain text instead of using the insert-data icon, so the AI sees the literal words "Name from Step 1" instead of a real name.
- Testing with a form that has zero responses.
- Setting Gmail's action to Send Email instead of Create Draft before reviewing a single output.
- Forgetting to Publish and toggle the Zap on.
- Reusing the exact same generic prompt instead of mentioning your actual business in it.
