How to Send New Leads to Slack Automatically (Step-By-Step)

What you'll build: A Zap that posts a message in a Slack channel the instant someone submits a lead form. No more refreshing a form dashboard to see who's new.

What you'll learn: How to connect a form trigger to Slack, how to write a message that pulls in real lead data, and the one Slack setting people always forget that stops messages from arriving.

This example uses Google Forms as the trigger, but the same steps work with Typeform, Facebook Lead Ads, or any other form Zapier supports. Just swap the trigger app in Step 2.

Step 1: Create the Zap

  1. Go to zapier.com, log in, and click Create, then Zaps.
  2. You'll land on a blank Zap with 1. Trigger and 2. Action boxes.

Step 2: Connect the form as the trigger

  1. Click the 1. Trigger box, search for Google Forms, and select it.
  2. Under Event, choose New Form Response, then click Continue.
  3. Sign in to the Google account that owns the form. Click Continue.
  4. Select your specific form from the dropdown. Click Continue.
  5. Click Test trigger. Confirm a real response appears on the right, then click Continue.

Step 3: Connect Slack as the action

  1. Click + to add a step, search for Slack, and select it.
  2. Under Event, choose Send Channel Message, then click Continue.
  3. Click Sign in and authorize Zapier to access your Slack workspace. Click Continue.
  4. Under Channel, select the channel you want leads posted into.
  5. In the Message Text field, click inside it, then use the insert-data icon to build a message from real fields, for example: New lead: [Name from Step 1] — [Email from Step 1]. They asked: [Answer from Step 1].
  6. Click Continue, then Test step. Check the actual Slack channel, you should see the message land with real data filled in.

Step 4: Turn it on

  1. Click Publish, then toggle the Zap to On.
  2. Submit one more real test form response and confirm it shows up in Slack within a minute.

Common mistakes

  • Picking a private Slack channel without inviting the Zapier app to it first. Slack won't let a bot post to a private channel it hasn't been added to, and the Zap will silently fail.
  • Typing the message as plain text instead of using the insert-data icon, so Slack shows the literal words "Name from Step 1".
  • Choosing the wrong channel and not noticing until leads have been posting to the wrong place for days.
  • Forgetting to click Publish and toggle the Zap on after testing.
  • Building this for five different forms in five separate channels before confirming one works end to end.

Your first step

  • Create a Zap with your lead form as the trigger and pull in one real test response.
  • Add Slack as the action and pick the destination channel.
  • If the channel is private, invite the Zapier app to it before testing.
  • Build the message using real inserted fields, not typed placeholder text.
  • Publish, toggle on, and confirm a real form submission shows up in Slack.
