How to Automate WhatsApp Messages with Zapier (Step-By-Step)

What you'll build: An automation that sends a business owner an instant WhatsApp message every time someone submits a Facebook Lead Ads form. Using WhatsApp's official Business API, not a workaround.

This one is marked Intermediate for a reason: the Zapier part takes ten minutes, but WhatsApp's official API requires a verified Meta Business account and an approved message template before it will send anything. Budget a day or two for that part, it's one-time setup that unlocks every WhatsApp automation you build after this.
Before you touch Zapier: what "official" requires
- A verified Meta Business Account. Go to business.facebook.com and create or verify your business account. Meta may ask for business documents to confirm you're a real business. This step alone can take anywhere from minutes to a couple of days.
- A dedicated phone number. In developers.facebook.com, create a Meta developer app, add the WhatsApp product, and register a phone number to it. This number can't already be active on the regular WhatsApp or WhatsApp Business consumer app, it has to be free to dedicate to the API.
- An approved message template. WhatsApp only lets you message someone outside an active conversation using a template Meta has pre-approved. This is what makes a "new lead just came in" alert possible, since the lead hasn't messaged you first. Create a template like
new_lead_alertwith variables for name and phone number, and submit it for approval inside your WhatsApp Manager. Approval is usually fast, but plan for it to take up to a day.
Skip any of these three and the Zapier automation below will connect fine but fail the moment it tries to actually send a message.
Step 1: Connect the trigger
- In Zapier, click Create, then Zaps.
- Click the 1. Trigger box, search for
Facebook Lead Ads, and select it. - Under Event, choose New Lead, then click Continue.
- Sign in to the Facebook account connected to your Page. Click Continue.
- Select the Page and the specific Form you want to watch. Click Continue.
- Click Test trigger. If your form has a recent real submission, you'll see it appear on the right, confirm the name and phone number look correct, then click Continue.
Step 2: Connect the WhatsApp action
- Click + to add a new step.
- Search for
WhatsApp Business Messagingand select it. - Under Event, choose Send Template Message, then click Continue.
- Click Sign in and enter the credentials from your Meta developer app (your Phone Number ID and access token, found under WhatsApp > API Setup in your Meta app dashboard). Click Continue.
- Under Template, select the template you got approved earlier (e.g.
new_lead_alert). - For each variable your template needs (like the lead's name), click the field, use the insert-data icon, and select the matching answer from your Step 1 trigger data, don't type it manually.
- In the To field, enter the phone number that should receive the alert, this is typically the business owner's own WhatsApp number, not the lead's.
- Click Continue, then Test step. Check the destination WhatsApp for the test message before moving on.
Step 3: Turn it on
- Click Publish, then toggle the Zap to On.
- Submit one real test lead through the actual Facebook form and confirm the WhatsApp alert arrives within a minute or two.
Why the template requirement isn't optional
It can feel like unnecessary friction when you just want a message to go out. It's there because WhatsApp treats any message to someone who hasn't messaged your business number first as unsolicited unless it uses an approved template. This is what keeps WhatsApp usable and keeps your number from getting flagged. Once one template is approved, sending more messages through it is instant and free of extra review.
Common mistakes
- Trying to send a free-form message instead of a template before any conversation has been opened, Meta will reject it
- Registering a phone number that's still active on the regular WhatsApp app instead of dedicating a fresh one
- Not collecting proper consent from leads before messaging them. WhatsApp's policy requires opt-in, and it's on you to have it
- Assuming setup finishes the same day, business verification and template approval both take real time
- Testing only with your own number and never confirming the template renders correctly with a real lead's actual data
